A content calendar should make publishing easier. If maintaining the calendar takes more effort than producing the content, the system is too complicated.
Record what the team actually needs
At minimum, a useful calendar normally identifies the publishing date, subject, intended audience or objective, content owner, format and current status. Add approval or asset fields only when they solve a real workflow problem.
Plan themes before individual posts
Start with important business and audience moments: research releases, events, recurring expertise, seasonal issues, recruitment needs and known industry dates. Then build individual posts around those priorities.
Leave room for responsive content
Do not schedule every available slot months in advance. Industry developments, company news and useful conversations create opportunities that cannot always be predicted.

Leave room in the calendar. If every publishing slot is committed weeks ahead, the Page has no space to respond when the company, its customers or its industry gives you something timely to talk about.
Make ownership visible
A calendar should show who is responsible for the next action. “Waiting for approval” is useful only if everybody knows whose approval is required.
